Email Notifications Setup
Email notification settings let you receive updates by email whenever a request is created, submitted, approved, or rejected. This helps you stay up to date on important actions without needing to log in every time.
Following the steps below to configure email notifications

2.1 Whitelist ClayHR in your email provider to ensure all notifications and updates
1.1 Admin tab Notification
Follow the steps below to set up Admin tab notifications:
- Go to People > Directory, click on the user's name to view their Notification Settings.

- Go to the employee profile and click on the 'Admin' tab.

- Check the 'Notifications' toggle—if it’s turned OFF, switch it ON to start receiving notifications.

1.2 User-Specific Preferences
Ask the user to review their My Preferences settings to ensure the relevant notification toggles are enabled. For example, in the case of Leave/PTO notifications, two specific notification settings should be checked and turned on.
- My PTO Assignments – Sends email notifications for PTO requests where you are listed as an approver.
- My PTO Requests Updates – Sends email notifications regarding the status of your own PTO requests, including approvals, rejections, and any comments added.
Follow the steps below to set up User Specific Preferences:
- Hover over the user profile icon in the top-right corner and select “ My Preferences” from the dropdown menu.

- Select “Notifications Preferences” and check your PTO notification (You can check the preferences as per your need)

- Turn ON PTO Notifications toggles as per your preferences; the same applies to other modules' notifications.

2.1 Email Deliverability & Spam Filter
If the above settings are correctly configured, the issue might be related to email deliverability. Occasionally, system-generated emails can be marked as spam by Outlook or other email providers.
To prevent this, ask the user to add notifications@clayhr.com to their Safe Senders list in Outlook. This will help ensure that future notifications are delivered directly to their inbox and not filtered as spam.
